Our Day of Coordination Package provides:


Planning and Preparation

  • Unlimited phone, e-mail and text communication as needed.
  • Up to six hours of in-person consultations leading up to the event.
  • Well organized forms and spreadsheet are available for the planning process.
  • Easy to follow checklists for your convenience.
  • Assistance with creating a realistic timeline of the event.
  • Distribution of timeline, details and duties event staff prior to the event.

Vendor Coordination

  • Provide venue rules and restrictions to all vendors.
  • Create vendor list with contact information, setup and strike times and provide it to all necessary parties.
  • Distribute loading instructions and site map as needed.


Event Day Coordination

  • Orchestration of the event by your coordinator and an assistant coordinator for up to ten hours each. Typically 2-3 hours preparation, 6 hours event, 1 hour clean-up.
  • Items from our legendary emergency tote and tool box as needed.
  • Direction and oversight of vendor set up.
  • Coordination and direction of event staff.
  • Seating and organizing of guests.
  • Oversight of set-up, layout and design of cocktail hour.
  • Confirmation of table settings, décor, and seating plan.
  • Transportation and assistance in the set-up of favors, menus, place cards, etc.
  • Ensure cocktails and hors d’oeuvres are ready to serve to guests on arrival.
  • Orchestrate and ensure all clean-up and borrowed items are picked up by the appropriate vendors.
Our Full Service Package includes all of the services listed in our Day of Coordination package in addition to the following:


Planning and Preparation

  • Coordination from conception to completion.
  • Assistance on theme, color and design.
  • Assistance on coordinating flowers, favors, lighting décor and linens.
  • A customized budget to meet your needs.
  • Assistance with floor plan, diagrams and seating charts.
  • Appointment scheduling with regular reminders.


Vendor Selection and Coordination:

  • Vendor research, recommendations, and selection including photographers, videographers, bands, DJ’s, florists, linens, lighting, transportation, and more!
  • Support with vendor negotiation and review of vendor contracts, deposits and payments.
  • Music selection assistance for ceremony and reception.
  • Collaboration on menu decisions.
  • Provide final head counts to reception venue and all other vendors.
  • Oversee ordering, delivery and return of rentals.
  • Request and obtain copies of insurance certificates if required by venue.
  • Contact the officiant to review ceremony and rehearsal details before the wedding day.


Invitations and Stationery

  • Assistance with custom invitation design, theme and color.
  • Advisement and assistance with wording and etiquette for invitation.
  • Assist with maps for ceremony and reception sites.
  • Direction ideas with programs, menu cards, table numbers, place cards and seating cards.
  • Assistance with correspondence and media announcements.


Guest Accommodations

  • Assist and advise on how to coordinate accommodations, car rentals, and activities for out of town guests.
  • Negotiate group room blocks for out of town guests.


Event Day Coordination

  • Confirm and coordinate photography making sure to get all requested shots.
  • Coordinate all vendors’ meals and breaks.
