All of our packages include coordination of your rehearsal and the day of your wedding as detailed below: 

Rehearsal Coordination

  • Provide address, date and time of rehearsal to all relevant parties. 
  • Up to two hours of coordination and management of rehearsal.
  • Written details of the processional, ceremony, and recessional.
  • Orchestrate and direct of the processional, ceremony, and recessional.
  • Conduct the logistics of the ceremony if the officiant is not at the rehearsal.
  • Work directly with on-site coordinator and additional event staff. 
  • Practice grand entrance order and details as needed for reception.
  • Retrieval of all personal and relevant items for ceremony and reception such as place cards, guest book, unity candle, toasting glasses, favors, knife and server set, etc.

Wedding Day Coordination

  • Wedding ceremony and reception coordination by your wedding coordinator and assistant coordinator for up to ten hours each. Typically this is spread out through two-three hours of preparation, six hours of the event itself and an hour of clean-up/post event work.
  • Items from our legendary emergency tote and tool box as needed. 
  • Greet and direct vendors to their location and manage set-up.
  • Oversee all vendor commitments and responsibilities. 
  • Coordinate wedding program with master of ceremony and music. 
  • Transport personal ceremony and reception items to site and set-up in the correct location. Please note this does not include any items from other vendors (florals, rentals, etc). 
  • Brief wedding party as to what is required, and then keep them on task and on schedule. 
  • Flower distribution to all members of the bridal party. Pin corsages and boutonnieres.
  • Assist in the seating of guests in the appropriate places.
  • Greet and instruct guests who arrive late.
  • Coordinate, cue and pace processional with musicians or DJ.
  • Confirm and coordinate photography making sure to get all requested shots with family and friends.
  • Oversee set-up, layout and design of cocktail hour and reception. 
  • Make certain all tables are set correctly for décor and number of place settings per seating plan.
  • Transport and assist in the set-up of favors, menus, cake serves, flutes, place cards, etc.
  • Make certain gift and guest book attendants are ready to greet guests.
  • Ensure cocktails and hors d’oeuvres are ready to serve to guests on arrival to reception. 
  • Coordinate private moment for Bride & Groom, if time allows, upon arrival to the reception site. 
  • Queue Bridal Party in correct order for their Grand Entrance introduction. 
  • Coordinate reception activities with bridal party, banquet manager, photographer, music, and video.
  • Ensure toast, first dance, cake-cutting, etc. are orchestrated with special effects on time. 
  • Be certain the Bride & Groom have time to eat their meal and receive a piece of wedding cake. 
  • Coordinate all vendors’ meals.
  • Arrange for gifts and cards to be transported to where they will be safe. 
  • Collect toasting flutes, cake server, top tier of the wedding cake, etc. and transport to designated area.
  • Orchestrate and ensure all clean-up and borrowed items are picked up by the appropriate vendors.

Day of Coordination Package

Our Day of Coordination Package provides the above rehearsal and wedding day orchestration as well as: 

Planning and Preparation

  • Unlimited phone, email and text communication as needed. 
  • Up to six hours of in-person consultations leading up to the event.
  • Wedding etiquette advisement.
  • Well organized forms and spreadsheets are available for the planning process. 
  • Easy to follow checklists for your convenience. 
  • Assistance with creating a realistic timeline of the wedding day. 
  • Distribution of timeline, details and duties to the wedding party prior to the wedding.

Vendor Coordination

  • Provide venue rules and restrictions to all vendors. 
  • Create vendor list with contact information, setup and strike times and provide it to all necessary parties. 
  • Assistance with floor plan.
  • Distribute loading instructions and site map as needed. 
  • Request and obtain copies of insurance certifications if required by venue. 
  • Contact vendors by e-mail and phone one week prior to ensure contracted services will be carried out. 

Our Day of Coordination Package base price is $1,600.

If your wedding has any of the following attributes there is a $150 extra charge because we require an additional assistant for your event: 

  • Guest Count over 175
  • Ceremony and Reception is in two different locations.
  • Event is at an estate/private residence.
  • Time frame for head coordinator will be more than 10 hours on the day of the wedding (This is not common, please reach out to us for clarification).

 

Partial Planning Package

Our Partial Planning Package is what most companies call their “Month of Coordination Package”. This package gives our couples a little more help towards the last few months before the wedding to help relieve some of the pressures of the process. You will receive all of the above rehearsal and wedding day orchestration as well as: 

Planning and Preparation:

  • Unlimited phone, email and text communication as needed. 
  • Package includes coordination from conception to completion.
  • Up to ten hours of in-person consultations leading up to the event.
  • Wedding etiquette advisement.
  • Assistance with floor plans, diagrams and seating charts. 
  • Well organized forms and spreadsheets are available for the planning process. 
  • Easy to follow checklists for your convenience. 
  • Provide guidance and information on marriage license.
  • Assistance with creating a realistic timeline of the wedding day. 
  • Distribute timeline, details and duties to the wedding party and helpers prior to the wedding.

Vendor Selection and Coordination: 

  • Provide venue rules and restrictions to all vendors. 
  • Provide final head counts to reception venue and all necessary vendors. 
  • Create vendor list with contact information, setup and strike times and provide it to all necessary parties. 
  • Distribute loading instructions and site map as needed. 
  • Oversee all ordering, delivery and return of all rentals.
  • Request and obtain copies of insurance certifications if required by venue. 
  • Contact vendors by e-mail and phone one week prior to ensure contracted services will be carried out. 
  • Contact the officiant to review ceremony and rehearsal details before the wedding day.

Our Partial Planning Package base price is price is $2,000.

If your wedding has any of the following attributes there is a $150 extra charge because we require an additional assistant for your event:

Full Service Package

Our Full Service Package includes coordination from the day you say “Yes” to the day you say “I Do”. You will receive all of the above rehearsal and wedding day orchestration as well as: 

Planning and Preparation: we will meet with you to discuss your big picture dreams for your wedding day, taking any confusion or stress out of the planning process from day one. 

  • Unlimited phone, email and text communication as needed. 
  • Package includes coordination from conception to completion.
  • Up to fourteen hours of in-person consultations leading up to the event (not including vendor meetings, a food tasting, and venue walk throughs).
  • Wedding etiquette advisement.
  • Assistance on wedding theme, color and design creation reflecting your personal style and taste.
  • Assistance on how to coordinate flowers, favors, lighting décor, and linens together.
  • Creating and working within a customized budget just for you.
  • Assistance with floor plans, diagrams and seating charts. 
  • Well organized forms and spreadsheets are available for the planning process. 
  • Easy to follow checklists for your convenience. 
  • Appointment scheduling with regular reminders.
  • Assistance with engagement photo appointment.
  • Assistance with hair and makeup trial appointments.
  • Assistance with selection of wedding attire and accessories.
  • Provide guidance and information on marriage license.
  • Assistance with creating a realistic timeline of the wedding day. 
  • Distribute timeline, details and duties to the wedding party and helpers prior to the wedding.

Vendor Selection and Coordination: we will help you select, manage, and keep track of all the vendors that will take part in your big day, allowing you to relax and enjoy your wedding.

  • Conduct vendor searches including photographers, videographers, invitations, bands, DJ’s, musicians, entertainment, photo booth, florists, linens, lighting, chairs, transportation, officiant, cake designers, hair and makeup artists, etc.
  • Negotiate, secure and review vendor contracts as well as deposits and payments.
  • Assistance with vendor recommendation and selection. 
  • Assistance with music selection for ceremony and reception. 
  • Assistance with menu decisions. 
  • Provide venue rules and restrictions to all vendors.

  • Assistance with custom invitation design, theme and color.
  • Advisement and assistance with wording and etiquette for invitation.
  • Assist with maps for ceremony and reception sites.
  • Direction ideas with programs, menu cards, table numbers, place cards and seating cards.
  • Assistance with correspondence and media announcements. 

Guest Accommodations

  • Assist and advise on how to coordinate accommodations, car rentals, and activities for out of town guests.
  • Negotiate group room blocks for bridal party, family and guests.

Our Full Service base price is price is $4,000.
